OPE (One Point of Entry)


At Foss we have a vacancy for an OPE, One Point of Entry. The OPE is a key orchestrator of customer and service daily operations. This role is pivotal in coordinating the work of service department employees, managing customer interactions from order intake to ongoing inquiries, and ensuring the preparation and accuracy of service quotes. Central to this position is the dual focus on effective inventory management of spare parts and robust support of service employees, underpinned by a commitment to using up-to-date CRM tools and following FOSS procedures. The OPE’s role is instrumental in maintaining and enhancing service relationships, ensuring operational efficiency, and contributing to the company's reputation for service excellence.

You will help deliver to our customers, internally and externally exceptional customer service
As our new Industry OPE, you will be responsible for engaging with our customers on a daily basis, discussing their needs and issues and translating this into structured response / solution. This includes:

  • Coordinating the work of Service Department employees
  • Taking orders from customers
  • Monitoring the performance of service department employees
  • Preparation of service quotes
  • Responding to ongoing customer inquiries 
  • Building and maintaining service relationships with the company's customers
  • Inventory management of spare parts of the service department
  • Activity Reporting
  • Active participation in FOSS meetings and activities
  • Supporting service employees

Use up-to-date Service Panning tools such as Salesforce and follow FOSS procedures. You will also help make sure that FOSS remains the front runner in analytical solutions by providing exceptional customer service, that ensure that our customers feel valued, and that they are the center of what we strive to do at FOSS.

Lastly you will help keep our customer PMA records updated and accurate with respect of the work we have carried out, notifying them of upcoming scheduled PMA visits and the organization of spare parts to coincide with the service engineers visit.  

Are you an experienced Planner / Scheduler?
To succeed in this role, we imagine that you are customer focused, highly organized, motivated, structured and adaptable to our customer’s needs.
Our ideal candidate comes with experience of working in a fast paced customer service organization and have the ability to multitask and adapt to the ever changing customer needs.

  • Experience with customer service or client-facing positions
  • Organizational skills with the ability to manage multiple tasks and schedules efficiently
  • Strong verbal and written communication skills
  • Technical proficient, being familiar with CRM tools, quick learner of new systems
  • Understanding of service operations and inventory management
  • Effective in building and maintaining customer relationships
  • Attention to Detail: Accurate and detail-oriented in all tasks
  • Adaptability: Capable of handling changing situations and diverse enquiries
  • Work flexibility to adjust working time when required to cover office duties when required

You know most of the relevant functions in the Microsoft Office suite applications such as Teams and Excel since this will be an asset to prepare quotations. In addition, you have effective verbal and communication skills that enhance interacting with our customers daily.
