We are looking for a new member to our Service Coordinator team in FOSS Northern Europe (Germany, Austria, and Benelux area).

As a subsidiary of FOSS, FOSS Northern Europe is FOSS´ largest subsidiary in Europe with a team that consists of 60 people committed to our values. You will be based at our office in Hamburg, Germany, where you will be part of a team of 3 service coordinators and report to the Service Director. You will have the unique opportunity to be part of a growing organization. The Service Coordinator is the central point for all customer interactions and the daily operations of the FOSS service department.

Key responsibilities
The Service Coordinator manages the full end to end process from initial communication from the customer, preparing service quotes, ordering spare parts, and dispatching work to the service engineers. Duties also include planning routine maintenance visits for the FOSS instruments and maintain close communication with service colleagues as well as colleagues from sales, admin, and finance.

Your responsibilities will be:

  • Dealing with all customer service inquiries
  • Coordinating and planning the work of Service Department employees
  • Handling of service quotes
  • Supporting service employees and relevant stakeholders
  • Using CRM tools proficiently to ensure good data quality
  • Following and staying updated with FOSS processes
  • Attending necessary FOSS meetings and activities

Finally, you will help keep our customers’ records up to date and accurate regarding work that has been carried out, informing them of upcoming scheduled visits and organizing spare parts to coincide with the technicians’ visit.

What you bring to the table
To succeed in this role, we expect you to be customer focused, highly organized, motivated, structured, and adaptable to our customers’ needs. Our ideal candidate is a team player with solid experience from a fast-paced service organization and can adapt to the ever-changing needs of our customers. Specifically – we expect you to have:

  • Experience with customer service or client-facing positions
  • Strong organizational skills with the ability to manage multiple tasks and schedules efficiently
  • Strong verbal and written communication skills
  • Proficient with CRM tools and other business-related IT software
  • Understanding of service operations and inventory management
  • Good experience in building and maintaining customer and stakeholder relationships
  • Accurate and attention to detail in all tasks
  • Capable of handling changing situations and diverse inquiries
  • You speak and write German, English and Dutch on a high level and a good level of French would be a plus
